In addition to standard account information (name, email via Google Auth), our platform processes "Contribution Data," which includes:

• Documents: PDF, Word, and text files.
• Multimodal Media: Video and audio files (which are transcribed and analyzed).
• Metadata: Information about your files (size, format, upload time).
• Inferred Data: Insights, summaries, and vector embeddings generated by our AI models.

3. How We Process Your Data (The AI Clause)

We use a "RAG" (Retrieval-Augmented Generation) architecture to enable our AI to reason over your data.

• Extraction: We use third-party services (like Unstructured.io) to partition files into readable "chunks."
• Vectorization: Your data is converted into numerical "embeddings" (vectors) using OpenAI models. These vectors do not contain your raw text but allow the AI to find relevant context.
• Transcription: Audio and video files are processed via automated speech recognition (ASR) to create text transcripts for analysis.

4. Third-Party Sub-Processors

To provide our service, we share specific data with the following trusted partners:

• Supabase: For secure authentication and primary data storage.
• OpenAI: For generating text summaries and vector embeddings.
• Pinecone: For storing and retrieving vector embeddings (the "memory" of the AI).
• Unstructured.io: For cleaning and structuring complex document layouts.

5. Data Retention & Deletion

• Active Data: We retain your documents and vector embeddings as long as your account is active.
• Deletion: If you delete a document or your account, we trigger a "hard delete" across all systems:
  • The raw file is removed from Supabase Storage.
  • The metadata is removed from our Database.
  • All associated vectors are purged from the Pinecone Index.

6. Your Rights (2025 Standards)

Under regulations like GDPR and CCPA, you have the following rights:

• Right to Human Review: You may request human intervention if an AI-automated decision significantly impacts you.
• Right to Opt-Out of AI Analysis: You can choose to store files without indexing them for AI search.

We implement industry-standard encryption (AES-256) for data at rest and TLS 1.3 for data in transit. Access to your vector index is restricted via unique API keys and environment-level isolation.
